Incoterm and payment structure are commercial decisions, not administrative ones. They determine who carries which risk and how much working capital you commit.
Choosing the term
- •FOB is the common default for experienced importers with a freight forwarder they trust — it gives control of the ocean leg and keeps the cost visible.
- •CIF suits buyers who prefer a single delivered-to-port price and do not have their own freight arrangement. Check what insurance level is included.
- •EXW is workable only if you have a reliable agent to handle export clearance in the country of origin; otherwise the goods can sit at the factory gate.
Payment structures in practice
- •T/T with deposit and balance before shipment — common for established grades and repeat customers.
- •T/T with balance against copy documents — a middle position that gives the buyer some leverage.
- •Letter of credit — typical for first transactions, larger values or new banking relationships. It costs more in bank fees and requires precise document compliance.
- •Open account — generally available only after a demonstrated trading history.
Clauses that cause disputes
- •No stated price validity on a volatile raw material.
- •Quality criteria defined by "supplier's standard" rather than by a named test method.
- •No agreement on who bears the cost of a rejected shipment.
- •Packing described vaguely, leading to a different format arriving.
